What It Is

Outreach Bot is a conversational survey you send to your audience.

Instead of sending a static one-size-fits-all survey form that people ignore, you send a link to a short, guided conversation. The bot asks a small number of focused questions, adapts based on responses, and captures structured insight as it goes.

This is not a long survey. Most implementations use 4 to 7 questions. That keeps engagement high while still capturing meaningful data.

The result is higher response rates, better signal, and clearer understanding of what your customers actually think.

The real insight in a survey rarely comes from "rate us 1 to 10." It comes from why they gave that rating, and then the follow-up to that why. Sometimes you need to ask why three times before you reach the actual root. A static survey cannot do that because it cannot adapt to what someone just said. Outreach Bot can, on the customer's own terms and at their own pace.

Why This Is Hard

Most teams default to forms because they are simple to set up. But they come with tradeoffs:

  • Low completion rates
  • Generic answers with little context
  • No ability to adapt or follow up
  • Limited insight beyond raw responses

They often miss the real insight you want to capture. How many times have you given out a survey, read a response, and asked yourself "I wish I could talk to this person"?

At the same time, a free-form chat without structure creates the opposite problem: too much noise, not enough usable data.

Getting this right requires balance:

  • enough structure to produce usable insight
  • enough flexibility to feel natural and engaging

Too many questions and people drop off. Too few and you miss the signal. Poor phrasing and the data becomes unreliable.
