This page describes Authava's standard data processing practices for customer and end-user information processed through the Authava platform.

Our Role

Authava provides hosted conversational AI software to its customers. Customers determine how their bots are configured, what information they request from visitors, and how that information is used.

Authava processes information as necessary to provide, operate, secure, and support the services configured by the customer.

Data We Process

Depending on configuration, this may include:

  • Chat messages and conversation history
  • Names, email addresses, phone numbers, and other customer-configured contact fields
  • Session and browser information such as IP address and user agent
  • Page URLs and basic tracking information
  • Files or images uploaded by visitors when enabled
  • Information sent to or received from customer-configured integrations

How Data Is Used

Data may be processed to:

  • Operate the conversational assistant
  • Maintain conversation history and session continuity
  • Collect customer-configured lead information
  • Provide transcripts, notifications, and reports
  • Support customer-configured CRM, webhook, email, or other integrations
  • Detect abuse and maintain platform security
  • Provide technical support

Data Location

Authava primarily operates its services in the United States using cloud infrastructure including Microsoft Azure and DigitalOcean.

Access to Data

Customer data is logically separated by tenant.

Access may be available to authorized customer users, authorized Authava personnel when required to provide or support the service, and service providers or integrations necessary to provide configured functionality.

Third-Party Services and Integrations

Authava uses third-party infrastructure, AI, email, storage, voice, telecommunications, and other service providers in delivering the platform.

Phone-based services may involve additional voice and telecommunications providers to process calls and provide voice functionality.

Customers may also configure their own integrations, such as CRM systems, webhooks, or external APIs. Data sent to customer-configured integrations is subject to the customer's configuration and the policies of those providers.

Data Retention and Deletion

Conversation data is retained as part of the customer account until deleted. Temporary uploads and certain system records may be removed automatically according to system retention processes.

Customers may contact Authava for assistance with data access or deletion requests.

Customer Responsibilities

Customers are responsible for determining what information their assistant requests, providing appropriate privacy notices to their users, and using the platform in accordance with applicable laws and their own privacy obligations.
