What You Can and Can't Do in Studio

What You Can and Can't Do in Studio

Studio covers the everyday work of running your bot. Deeper setup is done by our team. Studio intentionally gives you a safe, limited set of controls, so you can't accidentally break your bot. Anything more advanced is set up with our managed services team.

What Can I Do Myself In Studio?

Knowledge

  • Add and edit your key facts (authoritative text)
  • Upload, search, download, and delete documents, and see when each one is ready
  • Crawl your website and re-crawl it after changes (one website per bot)

Q&A and tuning (under Advanced)

  • Add, edit, and delete Q&A pairs, so a specific question always gets the same answer, word for word
  • Write tuning instructions, up to 6,000 characters, about tone and behavior, such as "be extra warm" or "never discuss price"

See Q&A Pairs and Tuning for how to use both.

Look and feel

  • Logo, company name, domain, widget title, and theme color
  • Greeting and tooltip messages
  • Up to 6 preset questions, their layout, and whether they hide after a click
  • In-chat disclaimer and footer disclaimer

Behavior

  • Open on page load, default size, auto-close after inactivity
  • Hide the tooltip or the close button
  • Allow file uploads
  • Bot purpose, topics to focus on, and topics to avoid

Conversations and results

  • Read every conversation, search transcripts, and download a conversation as PDF or HTML
  • Export chat history as a summary or full transcripts
  • See unique visitors, page views, most visited pages, and a visitor location map
  • View collected leads and uploaded files
  • Choose who gets transcript emails and weekly summary reports

Live chat (when turned on for your bot)

  • Answer waiting visitors, with AI-suggested replies
  • Set support hours and the wording shown during a handoff

Account

  • Create a new bot, install it with one line of code, manage billing, and delete a bot (if your account has permission)

What Does Our Team Set Up For You?

These are real features of the platform. They aren't in Studio because they connect to your other systems or can change how your bot works in bigger ways:

Feature What it does
Lead capture The bot asks visitors for their name, email, or phone during the chat
CRM sync Sends collected contacts to a CRM like HubSpot
Advanced Q&A Q&A pairs that match a pattern, like an order or ticket number, or that pull a live answer from your systems. These don't appear in your Studio Q&A list
MCP Gateway tools Lets the bot call your systems mid-conversation: look up orders, calculate quotes, show booking calendars. See MCP Gateway
Sign-in and portal bots Recognizes visitors who are signed in to your site so the bot can give account-specific answers. See Portal Bot
Turning on live chat Adds the "talk to a person" option and the Live Agent tab
Page-specific greetings Shows a different greeting depending on which page the visitor is on
Custom launcher icon and secondary color Replaces the default chat button and adds an accent color
Link behavior Whether links open in a new tab, and tracking parameters added to links
Fallback and off-topic messages What the bot says when it can't answer or a question is off-topic
Content filters Blocked keywords and a profanity filter
Other channels Slack and email versions of your bot
Post-chat workflows Sending conversations to your other systems after a chat ends

If you need any of these, talk to the support bot in Studio or contact us.

Why Isn't Everything In Studio?

Some settings can change your bot's answers in ways that are hard to spot, or depend on your other systems working correctly. Keeping them out of Studio means you can make everyday changes safely, while our team handles the parts that need testing.

Frequently Asked Questions

Can I manage my Authava bot myself?

Yes. In Studio you can update the bot's knowledge, customize the widget, install it, review conversations, and manage notifications without a developer.

Can I control exactly what my bot says to a specific question?

Yes. Add a Q&A pair in Studio under Advanced → Q&A. When a visitor asks that question, the bot gives your answer word for word.

Can I turn on lead capture myself?

Not in Studio. Our team sets up which details the bot asks for. Once it's on, you'll see the results in Activity → Collected Leads.

Can I connect my bot to my CRM or my own systems in Studio?

Not in Studio. CRM sync and connections to your systems, for example through the MCP Gateway, are set up by our team.

Can I change which AI model my bot uses?

Not in Studio. Contact us if you have a specific model requirement.
