Update Your Bot's Knowledge in Studio

Update Your Bot's Knowledge

Your bot answers from the knowledge you give it. In Studio, open your bot and go to Configure → Knowledge. There are three places to add knowledge: Authoritative Text, Documents, and Website Scraper.

Which Knowledge Source Should I Use?

Source Best for Priority
Authoritative Text Your key facts and policies: hours, prices, rules, contact details, "we do / we don't" Highest. Takes priority over other sources
Documents Longer material: guides, brochures, policy documents, product sheets Used alongside your other sources
Website Scraper Everything already on your website Used alongside your other sources

For a fixed answer to one specific question, use a Q&A pair instead. See Q&A and Tuning.

How Do I Add My Key Facts?

Go to Configure → Knowledge → Authoritative Text and type or paste your facts into Main Content, then save.

This is where your most important, must-be-right information belongs. It takes priority over your documents and website when the bot answers.

How Should I Write Authoritative Text?

For each question, the bot reads the most relevant parts of your text, not the whole thing at once. A few habits make a big difference:

  • Keep each topic in one place. Put everything about, say, delivery minimums in one short section instead of scattering it across the text.
  • State each fact once, the same way. If a number appears in three places with slightly different wording, the bot may pick up the wrong one.
  • Write plain, direct sentences. "There is no minimum order" works better than "We will do our best to accommodate smaller orders."
  • Say what you don't do, too. If customers often assume something that isn't true, say so clearly.
  • Remove duplicates and old wording. Outdated or contradictory text is the most common cause of a wrong answer.

How Do I Upload Documents?

Go to Configure → Knowledge → Documents and choose Select Files. You can search your uploaded documents, download them, and delete ones that are out of date.

Each document shows Processing while it's being prepared, then Processed when the bot can use it, or Failed if something went wrong.

When information changes, replace or delete the old document so the bot doesn't find two versions.

How Do I Let The Bot Learn From My Website?

Go to Configure → Knowledge → Website Scraper, enter your website domain, and choose Add Scraper. The bot crawls your site and learns from its pages. The status shows Queued, Processing, Completed, or Failed.

Each bot has one website scraper. After you update your website, choose Re-crawl so the bot picks up the changes.

How Do I Check That An Update Worked?

Use Preview Bot and ask the question your customers ask, in their words. If the answer is still wrong:

  1. Check that the right information exists in only one place, stated clearly.
  2. Look for old or contradictory wording in your documents or website.
  3. Check whether a Q&A pair is answering the question. Q&A pairs answer before the knowledge sources do. See Q&A and Tuning.

Frequently Asked Questions

What is authoritative text?

Authoritative text is the main block of key facts you give your Authava bot in Studio. It takes priority over documents and website content, so it's where must-be-right information like prices, policies, and rules belongs.

Why did my bot give an answer that isn't in my content?

The most common causes are missing information, two versions of the same fact, or vague wording. Make sure the correct fact is stated once, clearly, in your authoritative text, and remove older versions from documents and your website.

How long does the bot take to learn from my website?

The crawl runs in the background. The Website Scraper shows Completed when it's done.

Can I add more than one website?

Each bot has one website scraper. For content from another site, upload it as a document or add the key facts to your authoritative text.

Do I need to re-crawl after changing my website?

Yes. Choose Re-crawl in the Website Scraper so the bot picks up your changes.
